Field Report — Recent Commission

"They turned a disused barn in Somerset into something that made our guests forget they were in the countryside. Every detail — the lighting rigs, the catering choreography, the wet-weather contingency — was handled before we even thought to ask."

An Editorial Dossier on Bespoke Event Planning

This is not a brochure. It is a working document — a transparent look at how Chartered Event Designs approaches the craft of planning occasions that actually matter. We operate from a simple conviction: an event should feel inevitable in hindsight, as though every element was always meant to be exactly where it ended up. That sensation does not happen by accident. It happens through disciplined research, honest budgeting, creative risk-taking within clear boundaries, and an obsessive attention to the logistics that guests never see.

"We don't sell packages. We build proposals around the specific pressures, ambitions, and constraints of each commission."

Our work spans corporate launches, annual galas, milestone celebrations, charity fundraisers, and private gatherings that resist easy categorisation. We have staged a product reveal inside a decommissioned railway tunnel and coordinated a three-day wedding across two counties. The common thread is not scale — it is the depth of planning that precedes the first guest's arrival.

Below, you will find our capability matrix, the typical journey of a commission, and the decision points that help prospective clients determine whether our approach is the right fit.

Why the Detail Matters

A single overlooked permit can halt a marquee build at midnight. A misjudged catering ratio leaves guests waiting. A sound check skipped means feedback during the keynote. We maintain a 127-point pre-event audit — not because we enjoy bureaucracy, but because we have learned, over dozens of commissions, exactly where things go wrong when vigilance slips.

Our clients frequently tell us that the most valuable thing we did was something they never noticed. That is the point.

A Note on Budgets

We do not publish fixed pricing because every commission is different. A 50-person dinner in a private home and a 400-person corporate gala in a converted warehouse share almost no cost structure. What we do offer is radical transparency: every line item is visible, every vendor fee is passed through at cost, and our planning fee is agreed before any work begins.

Typical planning fees for recent commissions have ranged from £3,800 to £22,000 depending on scope and duration.

"The budget document they gave us was more detailed than our company's quarterly report. Genuinely reassuring." — D. Marchetti, corporate client, 2024

The Shape of a Commission

I

Discovery Conversation

A candid, unhurried discussion — usually 60 to 90 minutes — where we learn about the occasion, the audience, the non-negotiables, and the budget reality. No obligation. No pitch deck.

II

Feasibility & Proposal

Within ten working days, we return a written proposal: scope, timeline, estimated budget ranges, and a candid assessment of what is realistic. If we think the brief needs adjusting, we say so.

"They told us our original idea wouldn't work — and then offered three alternatives that were better." — K. Osei, 2025
III

Design & Pre-Production

Once the proposal is accepted, we move into detailed planning: vendor selection, design development, logistics mapping, and the creation of a master timeline that governs every subsequent decision.

IV

Build & Rehearsal

The physical build — whether that is a marquee erection, a venue transformation, or a production load-in — is managed entirely by our team. We conduct a full rehearsal of service and production cues.

V

Event Day & Debrief

We run the event. You attend it. Afterwards, we provide a full debrief document including vendor performance notes, budget reconciliation, and guest feedback summary.

"The debrief alone was worth the fee. We used their vendor notes for our next three events." — Annual gala committee chair, 2024
